What we use
A minimal set of strictly necessary technologies — sign-in sessions for the portals, your language preference, and security checks on our forms.
What we don't use
No advertising or marketing pixels, no cross-site tracking, and no selling of personal data. Optional technologies are only used with your consent.
Your choices
You can control site data through your browser settings at any time. Questions? Email enquiries@regulatorystaffingsolutions.com.
1.Purpose of this notice
This notice explains how RSS uses technologies that store information on, or access information from, a user's device when the user visits the RSS website or uses relevant online services.
The term “storage and access technologies” is used broadly and may include cookies, tracking pixels, web storage, scripts, tags, link-decoration or navigational tracking and similar technologies.
2.Relationship with the Privacy Notice
Where information obtained through a storage or access technology is personal data, the RSS Privacy Notice also applies. This notice focuses on the device storage and access rules and the choices available to users.
3.Categories RSS may use
| Category | Purpose | Typical examples | Consent position |
|---|---|---|---|
| Strictly necessary / exempt | Provide a service requested by the user or maintain essential security and functionality. | Authentication, session continuity, security, load balancing, consent preference storage. | May be used without consent only where a valid legal exception applies; clear information is still provided. |
| Functional | Remember non-essential preferences or enhance optional functionality. | Language and interface preferences, optional embedded features. | Consent may be required unless a specific exception applies. |
| Analytics / measurement | Understand use, performance, errors and service improvement. | Audience measurement, page usage, performance analytics. | Assessed against current PECR exceptions and conditions; not all analytics are assumed exempt. |
| Marketing / advertising | Measure campaigns, personalise or target advertising, or track users for marketing. | Advertising tags, remarketing pixels, cross-site tracking. | Generally requires valid consent before use unless a specific exception applies. RSS does not currently use these. |
4.Consent and preference management
RSS configures its consent mechanism so that technologies requiring consent are not activated before valid consent is obtained. Users receive clear information and a genuine choice.
Where consent is required, refusing non-essential technologies is as straightforward as accepting them, and a persistent method is provided to revisit or withdraw preferences.
5.Technology inventory
The technologies below reflect the current production RSS website. The inventory is re-audited whenever material website functionality or tracking technology changes.
| Name/technology | Provider/domain | Purpose | Category | First/third party | Duration | Consent/exception |
|---|---|---|---|---|---|---|
| Authentication session token | RSS platform (regulatorystaffingsolutions.com) | Keeps practitioners, clients and staff signed in to the secure portals. | Strictly necessary | First party | Session, with automatic sign-out after 30 minutes of inactivity | Exempt — required to provide a service the user requests |
| Language preference | RSS platform (regulatorystaffingsolutions.com) | Remembers whether the site is displayed in English or French. | Functional | First party | Persistent until cleared by the user | Exempt — set only when the user chooses a language |
| hCaptcha challenge data | hCaptcha (hcaptcha.com) | Protects contact and registration forms against automated abuse and spam. | Strictly necessary (security) | Third party | Session / short-lived | Exempt — security measure necessary to provide the form |
| Consent preference record | RSS platform (regulatorystaffingsolutions.com) | Records that a cookie notice has been acknowledged so it is not shown repeatedly. | Strictly necessary | First party | Persistent until cleared by the user | Exempt — stores the user's own preference |
| Secure file access links | RSS platform storage | Short-lived signed links used to serve compliance documents to authorised users only. | Strictly necessary | First party | Expires within minutes of issue | Exempt — required for secure document delivery |
| Advertising / marketing pixels | Not used | RSS does not operate advertising, remarketing or cross-site tracking technologies. | Marketing | — | — | Not applicable |
6.Technologies subject to ongoing review
The following are assessed at each privacy and developer review:
- hCaptcha used on contact and registration forms, including what information is stored or accessed and any third-party requests;
- authentication and database session technologies used by the client and practitioner portals;
- analytics, performance monitoring and error-reporting tools;
- embedded media, maps, social widgets or third-party fonts, where used;
- marketing pixels, conversion tags or advertising integrations, if introduced;
- AI chat or assistant interfaces and any session or local-storage mechanisms;
- e-signature, identity-verification or payment components embedded in RSS pages;
- consent-management platform cookies or local storage; and
- any scripts or tags loaded through a tag manager.
7.Browser controls
Users may also control cookies or site data through their browser or device settings. Browser-level blocking may affect website functionality. Browser controls do not replace the RSS obligation to obtain consent where the law requires it.
8.Third parties
Where third-party technologies are used, this notice identifies material third parties and explains their purpose. Links to third-party privacy or cookie information may be provided where useful, but RSS remains responsible for accurately describing its own use of those technologies.
9.Changes to this notice
RSS may update this notice when technologies, providers, purposes or legal requirements change. The inventory is re-audited whenever material website functionality or tracking technology is introduced or changed.
